Document boards

What a Document board is

A Document board is one page of text that lives in 21RISK next to your other boards. Use it to write down how something works: how your organization handles an incident, what a new site manager should know in their first week, or what the boards in a folder are for and how to use them.

Documents are for working text. They have no approval, review date or expiry. Policies you govern yourself by, such as an Information Security Policy that must be approved and reviewed every year, belong in Policies instead.

Create a document

  1. Click + next to Boards in the sidebar and choose Document.
  2. Give the document a name. You can change it and its address later under Settings.
  3. Start writing.

Like any board, a document can be moved into a folder from its menu in the sidebar. A document at the top of a folder is a good place to explain what the folder holds.

Write and save

The whole page is the document: click anywhere and start typing. Select text to make it a heading, bold or italic, a list or a link, or to add a table. Drag an image onto the page to add it.

Nothing is saved until you click Save. While you have unsaved changes, the top bar says so, and Discard throws your changes away. If you try to leave the page with unsaved changes, 21RISK asks you first.

See every version

Every save is kept. Open the ⋯ menu in the top bar and choose History to see who saved each version and when.

Choose a version to compare it with the one before it. Added text is green, removed text is red and struck through, and changed formatting is yellow.

Editors can bring back an earlier version with Restore this version. Restoring saves that version's text as a new version, so nothing is lost and you can always go back again.

Who can read and edit

Open ⋯ > User access to choose who can open the document. Each person or user group gets one of three roles:

RoleCan
ReaderRead the document and its history.
EditorAlso edit the document and restore earlier versions.
AdminAlso choose who has access and change the name and address.

Readers see the document without an editor and cannot change it. A document does not belong to any sites, so site access does not limit who can read it.

Documents and AI agents

AI agents connected to 21RISK can read a document as plain text and, with edit access, save a new version. Every save from an agent is a version in the history like any other, so you can see what changed and restore an earlier version.
