Tables
Saved table views
Saved table views let you return to the same table setup without rebuilding it each time. A view can preserve the fields you need, their order and width, and the sorting and filters used for a recurring task.
For example, you can create views for overdue risk improvements, unanswered Compliance questions, or sites that need an inspection.
Saved views are currently available in Sites , Insurance → Risk Improvements , a Compliance board's Questions and Sites tables, and Findings . Other tables may still offer filtering and sorting without user-created saved views.
Understanding view labels and types Understanding view labels and types
The label below each view tab explains who can use it:
| Label | Who can use the view |
|---|---|
| Global | Everyone who can access the table. This is a built-in view supplied by 21RISK. |
| Public | Everyone who can access the table. |
| Private | Only the person who created the view. |
In Manage table , a separate badge identifies a view as Built-in or User configured . Public means shared inside the relevant organization or board. It does not make the table or its data public on the internet.
Creating a view Creating a view
Open a supported table and click New view beside the view tabs. Choose one of these options:
| Option | Use it when |
|---|---|
| Blank view | You want to start from the table's default setup without saved overrides. |
| Save as new view | You want to copy the current field layout, sorting, and filters into a new view. |
Enter a name and press Enter . New views are private by default.
A blank view does not mean an empty table. It starts with the table's default fields, sorting, and filters.
Changing and saving a view Changing and saving a view
Select a view tab, then adjust the table as needed. A saved view can preserve:
- Field visibility, order, and width
- Sorting, including more than one sorting rule
- Filters
After changing field visibility or width, sorting, or filters directly in the table, click Save view . The button appears only when the selected view has unsaved changes and you have permission to update it.
Save view stores these changes together as one complete view setup. To reorder fields, open Manage table , select the view, and click Save changes when you finish.
Saved filters are filters applied to specific fields. Text entered in the table's Search box is not saved with the view.
Renaming, sharing, and deleting views Renaming, sharing, and deleting views
Open the menu on a view tab to see the actions available to you:
- Manage view opens the detailed configuration for users who can manage shared views. To configure your own private view when this action is unavailable, use Actions → Manage table → Views .
- Rename changes the name of a user-created view.
- Make public shares a private view with users who can access the same table.
- Make private changes a public view back to a private view.
- Delete view permanently removes a user-created view.
Built-in views cannot be renamed or deleted. Making views public, changing public views, and changing the fields, sorting, or filters of built-in views requires organization owner access or permission to manage the relevant board's settings.
Making a private view public turns it into a shared view, so managing it afterward requires permission to manage shared views. When an authorized user makes a public view private, that view becomes their private view and is no longer available to other users.
Deleting a view removes only its saved table setup. It does not delete fields or table data.
Reordering views Reordering views
Open Manage table → Views , then drag views or use the up and down buttons to set your preferred order. The order is personal: changing it does not affect how other users see the same shared views.
If another shared view is added later, it appears after your ordered views. You can move it whenever you want.
Private and public views Private and public views
Use a private view for your own recurring work. Other users cannot see it.
Use a public view when a team should work from the same setup. Everyone who can access the table can open a public view, but their underlying data access does not change. A saved view never grants access to records or fields that a user could not already access.
