Bulk Import Values
Importing insurance values in bulk from Excel makes it possible to import thousands of rows in minutes. Compared to manually inputting values for multiple sites, it's a convenient and efficient method. We have a video version of this guide, but if you prefer the text-based version, just continue to read along.
Before getting started Before getting started
Before we actually start and download the Excel template, there are a couple of important notes with bulk importing values into 21RISK:
- At the moment, you can only import values in your base currency.
- You can only import to active sites with insurance enabled. To help give you a complete list of your active insurance sites, we include a sheet in the Excel template with your sites.
- Blank cells are ignored, so you cannot use bulk import to "unset" values.
- Values can only be imported to one period at a time, so make sure you are on the correct period when starting your import.
- You must have create and update access to the insurance board.
Download the template Download the template
To download the template for bulk import, navigate to "Insurance" > "Values" after logging in to 21RISK. On this page, make sure you are on the correct period - on the following screenshot it's 2024.
In case you need to create a new period, it's done under "Insurance" > "Settings". Now, let's click on the "Search" button in the left side of the screen, or click "Ctrl/Cmd + K"
This should bring up the command palette in the middle of the screen, where you can now search for "bulk import values". Click on the first result
This should now take you to a page with the title "Import Values", with 2 cards. One for downloading the Excel template, and another one for uploading. Let's proceed by downloading the Excel template, by clicking on the button with the text "Download template"
This will download a template Excel sheet with 3 sheets:
- A sheet with some general instructions for importing
- The actual sheet with the data for the import i.e. "data-to-import"
- A sheet "Sites" with all your sites
Fill out the template Fill out the template
Now it's time to fill out the template - pull in data from an external system, and make sure you input the data without changing the column names or order. One row per site. In this example, we will update "Business Interruption" for 3 sites, and "Buildings" for 1 site
Remember that blank cells are ignored, and values are ignored if they don't actually update anything.
Upload and validate the template Upload and validate the template
With data in our spreadsheet, we are now ready to validate with our "What-if" scenario. Go back into 21RISK, and upload the spreadsheet and click "Upload template".
This should now take you to a page with the title "Bulk import what-if analysis". This will now show a row with the changes that would happen if you proceed with the import.
Please note that all values in the table are in thousands.
The table shows what the values will be updated to, and how much they will differ from the existing values in percentage. If the previous value was null, or very small, the change will show as 999% diff. If there are no updated values, the table will show a "-" character.
You should now validate that the import looks correct. If you find something that looks out of place, make changes to the Excel template, and re-upload.
If the values look correct, let's proceed to import the changes by clicking the "Import now" button at the bottom of the page.
This will now take you to the "Values" table where you can confirm the import worked.
If you click on "Esbjerg" in the table, let's inspect the change-log:
This should take you to the "Values" page for Esbjerg. Hover the "Updated" text next to Buildings, to confirm that the value was indeed updated.
Good job - you have now successfully imported from Excel using our bulk import flow 🎉
