Getting started
Statuses
A status tells where an item is in its work, such as To do, In progress or Completed. Compliance questions, findings, risk improvements and policies all have one.
One list for your organization One list for your organization
Your organization has one list of statuses, in Settings → Status. Each status there has:
- a name, which people choose when they update an item;
- a color, used in tables, the matrix and summaries;
- whether it counts as Open, Closed or Ignore: open work, finished work, or left out of totals, as Not applicable usually is. See Compliance statuses for how this calculates compliance.
Changing a status there changes it on every board that uses it.
Each board picks the statuses it uses Each board picks the statuses it uses
A board doesn't have statuses of its own. In the board's settings, Status lists the statuses the board uses, and Add status adds one from your organization's list. Compliance, Findings, Frameworks and Controls, and Insurance boards work this way.
What the board decides for itself is how it uses them: their order, which status new items start with, which appear in its default view, and who may set them. See Compliance statuses for status rules and for replacing a status on a board.
Reuse a status before you create one Reuse a status before you create one
Pages such as Actions show items from many boards together, and their filters list each status once. When two boards use the same status, its items are filtered, counted and colored together. Two statuses with the same meaning, such as Awaiting review on one board and Awaiting approval on another, would split them into two filter options and two colors.
So when a board needs a status, look in your organization's list first and add the one that fits. Create a new status, in Settings → Status, only when none does, and give it a name that says how it differs from the others.
