Responsibilities now manage board access automatically

We've improved how responsibilities work by connecting them directly to board access . When you create a responsibility on a board, an access entry is automatically created — and users assigned to that responsibility get access to the board without any manual setup.

Why this matters

Previously, creating a responsibility and managing board access were two separate tasks. You'd set up a responsibility, assign users to it, and then also have to remember to grant those users access to the board. That extra step was easy to forget and created confusion.

Now it all happens automatically.

How it works

  • Create a responsibility on any board (Property Insurance or Compliance) and a board access entry is created for it automatically with viewer permissions.
  • Assign users to the responsibility, and they immediately gain access to the board.
  • Unassign a user , and their access is recalculated — if they have no other access source, it's revoked.
  • Delete the responsibility , and the access entry is removed along with it.

You can still change the permission level on a responsibility's access entry (e.g. from viewer to editor) — just like any other access row.

A clearer access overview

The board access list now shows all four types of access in one view, each with a color-coded indicator :

  • Owners — Purple
  • User groups — Green
  • Individual users — Blue
  • Responsibilities — Amber

A legend at the top of the access list makes it easy to tell them apart at a glance.

  • Protected entries — Responsibility-linked access rows can't be accidentally deleted; remove the responsibility instead
