Expiration: keep recurring checks from going stale

Much of safety work is true only for a while. A fire door that closed properly in March may be wedged open by June. Extinguishers need checking every month, the sprinkler system needs servicing every year, and first aid training runs out. A compliant answer or a closed finding says what was true when someone last looked. It doesn't tell you whether it's still true today.

Expiration solves this. Compliance answers and findings can now say how often they must be verified. When that time runs out, 21RISK reopens them by itself, so your numbers show what's overdue rather than what was fine last year.

Rolling or fixed: two ways to expire

Recurring checks don't all work the same way, so there are two kinds of expiration:

  • Rolling counts from the last verification. Training that's valid for 12 months expires 12 months after the course, whenever that was. When a check is repeated early, Verify restarts the clock.
  • Fixed periods follow the calendar. A quarterly fire door inspection has to happen once in every quarter, however early or late in it. The deadline doesn't move, so you can see whether each site covered every period.

Set it once on a compliance question under Verification, and it applies to every site's answer. On a finding, click Add expiration under the status. When a check lapses, it moves to the status you choose in the board settings, such as "Verification due" or "Re-check due". The change shows in its history, and your notifications and automations run as for any other status change.

Every period on record

Answers and findings with fixed periods open on a new Periods view. It shows each period with the status it ended on and the files and comments added in it, so a missed month or quarter stands out straight away.

Fresh evidence, every time

Last year's certificate doesn't prove this year's service. Add a Files attached status rule to require a file before something can be closed. With fixed periods, only files attached in the current period count. The files are sorted by period too, so last quarter's checklist is one click away.

  • Audit-ready: show that every site did every check in every period, with the evidence attached.
  • Nothing forgotten: recurring checks come back on schedule, without spreadsheets or reminders.
